The brief
The organisation wanted visitors to get an answer from its own guides, forms, FAQs and web pages at any hour, without staff running a live chat. It also wanted its IT team to see what people ask, which questions the bot could not answer and where to add the missing answer. A general-purpose chatbot would not do, because it would answer from the internet and not from the organisation’s documents, and most of the questions are in Bahasa Malaysia.
What I built
- A chatbot that answers only from your own material – PDFs, Excel and CSV files, pasted text, FAQs and crawled web pages. A question outside that material is declined, not guessed.
- Department contacts when it cannot answer – the visitor is shown the right department’s phone number and e-mail instead of a made-up reply.
- Search tuned for Bahasa Malaysia – a built-in database index with a light Malay word-stemmer, so a question and a document still match when the wording differs a little.
- A floating chat widget – added to any page with one line of script, with suggested questions, links to the web pages an answer came from, a copy button and a button to start a new conversation.
- A nine-screen dashboard in Bahasa Malaysia – summary, conversations, failed questions, reports, sources, departments, test questions, PDPA and settings. The summary shows questions per week, how many were answered from documents, the busiest hours and a list of unanswered questions to deal with next.
- A bot that gets better because people improve it – an administrator adds an answer to an unanswered question and the next visitor gets it. The bot does not teach itself, so nothing changes without someone approving it.
- Reports you can export – CSV or Excel by day, week, month or year, plus a monthly report that can be e-mailed.
- Privacy built in for PDPA – ID card numbers are masked before anything is stored or sent to the AI, and a visitor’s name, e-mail and phone are never sent to it. Consent is required before a chat starts, one person’s data can be deleted on request, and old conversations can be deleted automatically after a set period.
- Locked down – a limited IT-admin role that only sees the BeeRO screens, requests from other websites are refused and the number of chats per visitor is rate-limited.
- Built to be maintained – a normal WordPress plugin with its own database tables, installed from a ZIP and covered by an automated test suite.
Result
BeeRO is delivered and running on WordPress. The organisation’s own team can add documents and FAQs, change department contacts, review unanswered questions and export reports from the dashboard, without calling a developer.
